Hearthside Companions is a Calgary-based social companionship agency. We place warm, background-checked companions with elderly Albertans who live alone — for weekly home visits built around tea, conversation, walks, and whatever makes them feel like themselves.
We are not a home care agency. There is no clinical work. What we do is simpler, and in some ways more important: we make sure people have something to look forward to. We currently serve 24 clients across Calgary, with 11 active companions and strong growth planned for Edmonton.
We are a small, intentional team. Everyone who works with Hearthside — in any capacity — genuinely cares about the people we serve. That is non-negotiable.
What you'll actually be doing.
This is a coordination and relationship role, not an administrative one. You are the person who ensures the service runs smoothly from the moment a new family enquires to the moment a companion's sixth visit feels as natural as the first.
The work divides into three areas: scheduling, first-visit attendance, and ongoing client and companion care.
Your core responsibilities.
The most important thing this role does: attend first visits. You will be present at every new client's first visit with their companion — handling the introduction personally, staying for the first 30–45 minutes, and calling the family that evening. This is non-negotiable and is the single most important thing we do to build trust with families.
- Manage the weekly visit schedule for all active companions — coordinating days, times, duration, and any changes with companions, clients, and families via phone and our admin platform
- Attend every new client's first visit: meet the companion at the client's home, make the introduction, settle everyone in, and follow up with the family the same evening
- Conduct in-home consultations with new families — spending time understanding the client's personality, what they love, how they communicate, and what would make visits feel natural rather than transactional
- Brief companions before their first visit with a new client — covering personality notes, conversation starters, critical considerations, and what a great first visit looks like for this specific person
- Monitor visit logs submitted by companions after each visit — flagging anything that needs attention and following up on any visits marked as concerning
- Conduct 30-day family check-ins after service starts — a structured conversation to assess the match quality, visit satisfaction, and whether the plan and schedule still fits
- Respond to family enquiries by phone and email within 2 hours during operating hours (7am–9pm daily) — answering questions, reassuring concerns, and progressing new enquiries through the intake process
- Support companion onboarding — checking documents, walking new companions through their orientation, and pairing them with their first client
- Coordinate rematches when a companion-client pairing isn't working — managing the transition sensitively so neither party feels at fault
- Maintain accurate records in the Hearthside admin portal — client profiles, companion availability, visit logs, and scheduling notes
When and how this role works.
This is a part-time role at approximately 20 hours per week. The schedule is partly flexible, but some structure is required: most client visits happen in the afternoon, so at least three afternoons per week need to be available for in-home consultations and first-visit attendance.
Remote work is the majority of the role. You will need reliable transportation for in-person visits across Calgary (primarily NW and SW). Mileage is reimbursed at Alberta standard rates.

The skills below are genuinely what makes someone excellent in this role — not a generic list. The most important is warmth. You will be the first Hearthside person a new family meets in their home. Everything about how you show up — the questions you ask, the way you listen, how you talk about the companion — shapes whether they trust us.

Useful background: healthcare, social work, home care, senior services, community coordination, teaching, or any role that involved relationship management and working with vulnerable individuals. We will train the right person from the ground up — what we cannot train is warmth and reliability.
What this role is not.
A call centre or high-volume customer service role — you will build real relationships with a stable client base
A healthcare or personal care role — our companions provide social companionship only; no medical responsibilities of any kind
A full-time role — this is intentionally part-time and structured to work around other commitments
A purely remote role — the in-home elements (first visits, consultations) are the most meaningful part of the job and cannot be done remotely
A role that requires prior coordinator experience — we are open to people making a career pivot who bring the right qualities and genuine interest in this work
